This Privacy Policy explains how Mathnk collects, uses, shares, protects, and retains personal information when families, students, teachers, and administrators use Mathnk websites, free assessments, live tutoring, student workspace tools, recordings, payments, and communications.

1. Scope of This Policy

This Privacy Policy applies to Mathnk websites, registration forms, free assessments, online classes, student workspace tools, dashboards, model papers, recordings, communications, payment workflows, and related services.

This Policy should be read together with the Mathnk Terms of Use, Free Intake Terms, enrollment or checkout terms, and any consent choices shown during registration or communication signup.

If you provide personal information about a student, child, parent, guardian, teacher, or another person, you confirm that you have authority to provide that information and that it is accurate to the best of your knowledge.

2. Personal Information We Collect

Mathnk may collect identifiers and contact details such as name, email address, phone number, role, parent or guardian relationship, login identifier, username, and communication preferences.

For students, Mathnk may collect age or age range, grade or level, school-related learning context, subject interests, selected subjects, preferred assessment subject, learning goals, course codes, scheduling needs, attendance, class history, homework, model paper attempts, reviewed work, feedback, engagement signals, and progress information.

For parents or guardians, Mathnk may collect family account details, linked student information, consent records, dashboard activity, support requests, payment status, notification preferences, and billing contact information.

For teachers, teaching assistants, administrators, and operations users, Mathnk may collect profile information, subjects, grade coverage, availability, assigned classes, teacher notes, lesson summaries, work logs, payable-hour records, compliance status, identity/background-check status, emergency coverage eligibility, and operational actions.

Mathnk does not intentionally ask for date of birth or gender for ordinary student registration unless a specific program, legal, safety, or administrative reason requires it.

3. Payment and Billing Information

Mathnk may collect package selection, billing option, checkout intent, discount code, receipt number, payment status, renewal date, grace-period status, cancellation or refund request, and related payment event history.

Payment card details are processed by Mathnk's payment provider. Mathnk should not store full card numbers. Mathnk may store limited payment-method information such as payment provider customer ID, subscription ID, card brand, last four digits, expiry date, and payment setup status when needed for billing support and reminders.

Payment confirmations, payment reminders, card-expiry reminders, refund or credit confirmations, and cancellation confirmations may be sent to the payer, parent, guardian, or account contact and recorded in notification history.

4. Information Collected Automatically

When you use Mathnk online, Mathnk may collect technical information such as IP address, device type, browser, operating system, approximate location inferred from IP address, pages visited, timestamps, referring URLs, authentication events, cookies, session activity, and application logs.

Mathnk may use cookies and similar technologies to operate the website, maintain sessions, remember preferences, secure accounts, measure usage, improve performance, and understand which pages or messages are helpful.

Email tools may record whether a service-related email was sent, delivered, skipped, failed, opened, or acted on when the email provider makes that information available.

You can control cookies through your browser settings, but disabling certain cookies may affect login, checkout, dashboard, or workspace functionality.

5. How Mathnk Uses Personal Information

Mathnk uses personal information to create and verify accounts, schedule free assessments, assign teachers, create classes, generate meeting links, provide live tutoring, manage student workspace access, personalize practice, assign and review model papers, provide recordings, and communicate with families.

Mathnk uses student learning information to help teachers prepare, track attendance, record engagement, assign homework, return reviewed work, recommend support, share progress with linked parents or guardians, and improve class quality.

Mathnk uses payment and billing information to process checkout, apply valid discounts, create enrollments after confirmed payment, manage auto-pay, send receipts, support renewals, process refunds or credits, handle cancellations, and help staff locate payment records.

Mathnk uses operational and teacher information to manage schedules, avoid conflicts, assign backup coverage, record teacher payable hours, monitor compliance, and support administrators.

Mathnk may use aggregated or de-identified information to improve content, curriculum coverage, scheduling, product design, quality assurance, reporting, and business operations.

6. Parents, Guardians, and Minor Students

Mathnk provides services to students, including minors. For minor students, Mathnk expects parent or guardian involvement and may require parent or guardian verification before workspace or class access is enabled.

Parent and guardian dashboards may show linked student classes, attendance, lesson summaries, homework, feedback requirements, reviewed work, recordings, payment status, notifications, and support context.

Mathnk is designed to prevent one family from seeing another family's private student data. Parents or guardians should contact Mathnk if they believe a student is linked incorrectly or if access should be changed.

If Mathnk learns that personal information about a minor was provided without appropriate parent or guardian consent, Mathnk may restrict access, request verification, update account ownership, or delete information where appropriate.

7. Recordings, Class Data, and Student Work

Mathnk classes may be recorded when recording is enabled. Recordings may include student name, voice, video, chat, shared screen, teacher instruction, class participation, questions, and learning activity.

Recordings are intended for educational review by enrolled students, linked parents or guardians, teachers, and authorized administrators. Recording access may be role-controlled, time-limited, archived, or logged.

Student work, homework, model paper answers, reviewed work, feedback, notes, and class outcomes may be stored in the Mathnk workspace and shared with teachers, administrators, the student, and linked parents or guardians as needed for tutoring and support.

Mathnk may restrict access to answer keys, teacher notes, and internal review material. Downloads and access to sensitive content may be logged.

8. Communications, Marketing, SMS, and Consent

Mathnk may send service-related communications such as account verification, magic links, assessment scheduling, class reminders, schedule changes, teacher coverage updates, recording availability, homework and model paper notices, reviewed work updates, feedback requirements, payment confirmations, payment reminders, cancellation messages, and security notices.

Mathnk may ask for separate optional consent for marketing messages, SMS messages, WhatsApp communications, offers, learning resources, or partner communications. These consents should not be required for ordinary service access unless the communication is necessary to provide the requested service.

You may withdraw optional marketing or partner consent where available. Service-related messages may still be sent when needed to provide classes, manage payments, protect accounts, meet legal obligations, or respond to support requests.

Canada's Anti-Spam Legislation requires commercial electronic messages to have proper consent, sender identification, and unsubscribe mechanisms where applicable. Mathnk intends to keep consent records and unsubscribe or withdrawal records for compliance and support.

9. How Mathnk Shares Personal Information

Mathnk may share personal information with service providers that help operate the business, such as hosting providers, database providers, email providers, payment processors, meeting platforms, authentication providers, analytics tools, AI providers, file storage providers, security tools, and customer support tools.

Mathnk may share relevant student information with assigned teachers, backup teachers, teaching assistants, administrators, and operations staff for scheduling, teaching, feedback, safety, quality, and support.

Mathnk may share information with parents or guardians connected to a student account, including student attendance, progress, homework, reviewed work, recordings, feedback requirements, class summaries, conduct concerns, and support recommendations.

Mathnk may disclose information if required by law, court order, regulator, payment provider process, safety concern, suspected fraud, platform security issue, or to protect the rights, privacy, safety, or property of Mathnk, students, families, teachers, or others.

If Mathnk is involved in a merger, financing, reorganization, sale, transfer, or similar business transaction, personal information may be disclosed or transferred as part of that transaction, subject to appropriate safeguards where required.

10. Partners and Advertising

Mathnk does not sell student personal information for money. Mathnk does not intend to share student or parent contact information with education partners for their own marketing unless a separate optional partner consent is obtained or another lawful basis applies.

If Mathnk uses analytics, advertising, or social media tools, those tools may receive limited technical or usage information such as cookies, device identifiers, IP address, page views, or campaign interactions. Mathnk should configure those tools carefully, especially where students or minors are involved.

SMS opt-in data, phone numbers collected for messaging consent, and consent records should not be sold or shared with third parties for their own marketing or promotional purposes.

11. AI and Learning Support Tools

Mathnk may use AI-supported tools to generate practice questions, hints, explanations, model papers, feedback support, summaries, or administrative assistance.

Mathnk may send limited prompts, student learning context, subject, grade, topic, answers, or teacher/admin instructions to AI providers when needed to provide a feature. Mathnk should avoid sending unnecessary sensitive personal information to AI tools.

AI outputs may be inaccurate or incomplete and are intended to support learning and staff workflow, not replace teacher judgment, parent involvement, or student effort.

12. Retention

Mathnk keeps personal information for as long as reasonably necessary to provide services, manage accounts, support students, maintain payment and enrollment records, meet legal or tax obligations, resolve disputes, preserve security, enforce terms, and improve services.

Different records may be kept for different periods. For example, payment and tax records may need to be kept longer than routine support messages, and class recordings may be retained, archived, or deleted according to operational needs and storage capacity.

When personal information is no longer needed, Mathnk will delete, anonymize, archive, or securely retain it according to applicable requirements and business needs.

13. Security

Mathnk uses administrative, technical, and organizational safeguards intended to protect personal information, including account authentication, role-based access controls, protected admin routes, payment provider controls, logging, and data-isolation checks.

No online service can guarantee perfect security. Users should protect passwords, avoid sharing login links, use trusted devices, and contact Mathnk promptly if they suspect unauthorized access.

Mathnk may investigate suspicious activity, restrict access, require verification, notify affected users where appropriate, or take other steps to protect students, families, teachers, and the platform.

14. Cross-Border Processing

Mathnk may use service providers located in Canada, the United States, or other countries. Personal information may be processed or stored outside your province or country and may be subject to the laws of the jurisdiction where it is processed.

Mathnk chooses service providers to support delivery, security, payments, communications, hosting, meeting links, analytics, and learning features, and aims to use reasonable contractual and operational safeguards for personal information handled by those providers.

15. Your Choices and Access Requests

You may contact Mathnk to request access to, correction of, or deletion of personal information, or to ask questions about account links, parent/guardian access, communication preferences, recordings, or student data.

Mathnk may need to verify your identity or authority before responding to a request, especially where the request involves a minor student, parent dashboard, payment record, recording, reviewed work, or another person's information.

Some information may need to be retained for legal, payment, tax, security, dispute-resolution, academic integrity, or operational reasons even after an account is closed.

16. Email and Notification Preferences

You can ask Mathnk to stop optional marketing messages or update communication preferences. Where an unsubscribe link is provided, you may use that link to withdraw optional email consent.

Mathnk may continue to send necessary service messages, including account verification, class reminders, schedule changes, safety notices, payment receipts, billing notices, cancellation confirmations, and support responses.

Parents or guardians who want to change dashboard visibility, linked students, notification delivery, or communication recipients should contact Mathnk support.

17. Changes to This Policy

Mathnk may update this Privacy Policy as services, laws, providers, or practices change. The updated version will be posted with a new last-updated date.

If changes are material, Mathnk may provide additional notice where appropriate. Continued use of Mathnk after an updated Policy is posted means you acknowledge the updated Policy.
